Part Three – Contact Information
One of the biggest reasons recruiters struggle to fill job orders today is surprisingly simple:
They don’t have enough accurate contact information.
In 2026, speed matters. Access matters. Precision matters.
A recruiter can have a great candidate ready to go, but if they don’t know exactly who to contact—or how to reach them—the search slows down, momentum disappears, and the placement opportunity often vanishes.

This is not “administrative work.”

The more detailed your contact sheet is, the more efficiently you can recruit, coordinate interviews, solve problems, and close placements.
At a minimum, your Job Order should include:

- Name
- Title
- Direct Phone Number
- Mobile Number (if available)

- Administrative Assistant’s Name
- Best Time to Reach Them
- Preferred Communication Method

Today, recruiting is far more team-oriented than it used to be.
A hiring process may involve HR, Talent Acquisition, the direct hiring manager, a department head, finance, and sometimes even a committee. If you only know one contact person, you are vulnerable.
People go on vacation.
People leave companies.
People stop responding.
Big Billers build multiple relationships inside every account.
That creates stability, influence, and better communication throughout the search process.
It also helps you avoid one of the most dangerous statements in recruiting:
“I’ll have to check with someone else.”
The more complete your contact information is, the fewer surprises you encounter later in the process.
And remember this:
Candidates judge you by how connected and informed you appear.
When you can quickly coordinate interviews, provide updates, and reach decision-makers without delay, candidates gain confidence in both you and your client.
That confidence often determines whether they accept an offer.
A Short Story
Years ago, one of my recruiters was working on a difficult engineering search. Everything was moving smoothly until the hiring manager suddenly disappeared for nearly a week during final interviews.
Most recruiters would have panicked.
But because we had gathered complete contact information up front, including the VP of Engineering and the hiring manager’s assistant, we kept the process moving without interruption.
The candidate interviewed with the VP, received an offer three days later, and accepted.
That placement billed over $40,000.
The lesson?
Good contact information is not clerical detail.
It is placement insurance.
